COMPANY BACKGROUND

Waterford Services Inc. (“Waterford”), founded in 1990, is a privately owned company that provides industry leading, quality janitorial services to commercial, retail, residential, community, educational, and government facilities in Toronto and the Greater Toronto Area. Originally Waterford Building Maintenance Inc., The company has evolved on pace with the increasing sophistication of its clientele and driven by its enhanced service offering, was re-branded in 2009 as Waterford Services Inc. Waterford currently employs a growing team of over 450 cleaning personnel, who combined provide janitorial services to over 200 facilities every day. 

Waterford’s corporate strategy is to deliver consistent, quality janitorial services which exceed the needs and expectations of its clients through the implementation of industry leading technologies, driving efficiency in its business and promoting cost saving opportunities for its customers. Waterford’s operational philosophy, led by its owner and founder Ken Crystal, has always been to facilitate a customized and hands-on approach when managing its relationships, whether it is with clients, vendors, Qualified Service Professionals, or employees.

 

In keeping with the needs of its clients and to promote its reputation within the industry for quality excellence, in 2015 Waterford completed the process for and received the accreditation with honours in the ISSA’s Cleaning Industry Management Standard (CIMS) and Cleaning Industry Management Standard for Green Buildings (CIMS-GB). Waterford Services is now the third janitorial services provider in Ontario to achieve honours certification, and the fifth to earn the CIMS-GB accreditation, positioning the company in the industry to elevate the standard of cleaning management across the province and country.

To assist its clients in elevating their facility’s environmental standard, Waterford Services offers a comprehensive green cleaning plan focused on reducing exposure of building occupants and cleaning personnel to the potentially hazardous affects of chemical, biological and particulate contaminants which may adversely affect air quality, human health, building finishes, building systems and the environment. 

Traditional cleaning chemicals may pose a health concern on building occupants and cleaning personnel. Exposure can occur through inhalation or skin contact causing a variety of problems including but not limited to; eye, skin and respiratory irritation. These products can also have a negative impact on the environment if not correctly disposed of. By reducing the use of traditional cleaning chemicals and converting to alternative green cleaning products, the emission of harmful compounds affecting the occupants’ well-being, productivity and indoor-air-quality can dramatically be reduced. 

Waterford Services green cleaning plan and standard operating procedures is an excellent benchmark for an industry leading janitorial business model built on process, workloading, procurement practices, quality control, and safety.

CLEANING INDUSTRY MANAGEMENT STANDARD (CIMS)
& CLEANING INDUSTRY MANAGEMENT STANDARD - GREEN BUILDING (CIMS-GB)

CIMS is the first consensus-based management standard that outlines the primary characteristics of a successful, quality cleaning organization. ISSA’s Cleaning Industry Management Standard is a general framework that is designed to assist cleaning organizations in developing quality, customer-centered organizations. Perhaps the most important characteristic of the Standard is the fact that it is non-prescriptive and based on universally accepted management principles that are the hallmarks of successful organizations. The Standard, therefore, does not require, recommend or otherwise endorse any particular process or product and allows individual organizations flexibility in choosing the most effective ways in which to meet their management requirements. The purpose of this Standard is to set forth the policies, processes, procedures, and supporting documentation that guide cleaning organizations in establishing customer-centered organizations. 

Waterford Services was certified with honours in June 2015 to the Cleaning Industry Management Standard (CIMS) and with honours to the Cleaning Industry Management Standard for Green Buildings (CIMS-GB). The assessment process inspired all areas of the business to evaluate existing processes refining and adapting them to be more comprehensive, efficient, and cost effective. 

The CIMS-GB certification qualifies Waterford Services to perform services in all LEED designated facilities.

JANITORIAL SERVICES MANAGER (JSM)

As part of Waterford’s preparation for its CIMS-GB assessment, the company developed proprietary and unique cleaning management software which it has named the “Janitorial Services Manager” or “JSM”. The JSM is a comprehensive and custom designed application born from more than two decades of industry experience, and built with the most modern technology. The JSM leverages the relationships between large amounts of cleaning related data to provide all levels of operational and administrative functions within the company, access to powerful administrative tools and reports from anywhere in the world. In addition, the JSM connects Waterford’s clients to many of the reporting tools available. Throughout this document, the “Janitorial Services Manager” or “JSM” is referenced and described in more detail as it relates to each component of the RFP. Waterford is proud of and excited about the power of the JSM and welcomes the opportunity to explain its advantages to any customer wanting to learn more about it.

MYWATERFORD ONLINE PORTAL

The JSM packs tremendous amounts of power for the Waterford Services team. Waterford Services decided that sharing the power of the JSM with its clients would make it that much more beneficial. Each client representative is provided with unique login to an Online Portal known as “myWaterford” which provides much of the data stored related to each building.

The myWaterford Online Portal provides clients with access to building data including, liability insurance certificates, WSIB Clearance certificates, employee rosters, schedules, time-clock records, training certificates, work orders, inspection reports, chemical specifications, and SDS. The myWaterford Online Portal is customizable by building and by user, creating a tailored experience based on need (ie. A Property Manager may want complete access, and provide the Security Guard access to employee photos and schedules only).
